Appointments & Diagnosis

Open a patient's consultation, record symptoms and diagnosis, write a treatment plan, and manage the Appointment from start to case closure.


What is an appointment?

In Cliops, an Appointment is one consultation record: everything that happens in a single appointment is saved here. Each Appointment has its own:

  • Diagnosis (symptoms, notes, treatment plan)
  • Prescriptions: Investigation uploads: Dentogram findings: Follow-up schedule

All of this becomes part of the patient's permanent Medical History Timeline.

Opening an appointment

Web App:

  1. Go to Appointments or search for the patient.
  2. Click on the appointment / patient name.
  3. The Appointment detail screen opens.

Mobile App:

  1. Tap Appointments → tap the patient's appointment card.
  2. The Appointment screen opens with all sections below.

Appointment Screen Layout

The Appointment screen is organised into sections (shown as tabs or a scrollable page):

Recording a Diagnosis

Only Dentist and Admin can add or edit diagnosis.

Web App:

  1. Inside the Appointment, go to the Diagnosis section.
  2. Fill in:
    • Symptoms: tap quick-select chips (Pain, Swelling, Sensitivity, Bleeding gums, Bad breath, Loose tooth, Jaw discomfort) or type custom symptoms.
    • Diagnosis Notes: detailed clinical notes.
    • Treatment Plan: what the next steps are.
  3. Changes are auto-saved as you type.

Mobile App:

  1. Inside the Appointment, tap Diagnosis.
  2. Tap symptom chips to add common symptoms quickly.
  3. Type or use the mic icon (🎙️) to dictate notes and treatment plan using voice.
  4. Cliops auto-saves your input.

Voice input tip (mobile): Tap the mic and speak: your words are transcribed directly into whichever field is active. Say "comma", "dash", or "period" to insert punctuation.


Autosave

Diagnosis notes auto-save as you type: you will see an autosave indicator (e.g. "Saving…" → "Saved") in the corner. You do not need to press a Save button for diagnosis.


Appointment Status Lifecycle

Change the Appointment status as the consultation progresses:

Waiting → In Consultation → Completed → Follow-up Required → Closed
                                                 ↓
                                            (or) Cancelled

How to change status:

Web App: Use the status dropdown at the top of the Appointment page.

Mobile App: Tap the status bar at the bottom → select the new status from the sheet.

Role restrictions apply: : Only Dentist and Admin can close an appointment. : All roles can move an appointment to Waiting, In Consultation, Completed, or Follow-up Required.


Closing an appointment (Case Closure)

When treatment is complete and no further follow-up is needed:

  1. Ensure diagnosis and prescriptions are recorded.
  2. Change the status to Closed.
  3. The Appointment is locked: no further clinical edits can be made.

Closed Appointments remain fully visible in the patient's Medical History Timeline.


Viewing Past Appointments

From the patient profile:

Web App: Click the patient → scroll to Appointments section → click any past Appointment.

Mobile App: Open the patient → tap Appointments → tap a past Appointment card.

All diagnosis, prescriptions, and investigations from past Appointments are visible.
