Cliops: User Guide

Welcome to Cliops. This guide covers everything you need to get started and use the system confidently: whether you are on the web app or the mobile app.


What is Cliops?

Cliops is a lightweight, fast dental clinic management platform built for dental clinics of any size: from a solo dentist running their own practice to a multi-staff clinic with dentists, receptionists, and an admin team all working together.

It replaces paper-based daily workflows with a simple digital system: so your clinic can manage patients, consultations, prescriptions, investigations, and follow-ups all in one place.

Works for every setup:

  • Solo dentist: you are the Admin and the Dentist. Manage everything yourself: register patients, record diagnoses, prescribe, and track follow-ups without needing any other staff on the system.
  • Small team: one or two dentists with a receptionist. The receptionist handles registration and scheduling; dentists handle the clinical work.
  • Multi-staff clinic: multiple dentists, a dedicated receptionist at the front desk, and an Admin who manages users and clinic settings. Appointments are booked per doctor and slot availability is checked individually.

Core goals of the system:

  • Speed: fast patient search, quick data entry, no unnecessary steps.
  • Simplicity: minimal screens to complete daily tasks.
  • Continuity: one unified place to see a patient's full history across every Appointment.
  • Low friction: any team size can operate Cliops with minimal training.

Who Uses Cliops?

The system has three roles, each with a different level of access:

Tip: Your login role is assigned by the Admin. If you cannot see a feature described in this guide, it may be restricted to a different role. Contact your Admin if you need access changes.

Typical Daily Workflow

Here is how a standard consultation flows through the system:

1. Receptionist registers a new patient (or searches for an existing one)
       ↓
2. Receptionist creates a new Appointment / Appointment
       ↓
3. Patient is seen: Dentist opens the Appointment
       ↓
4. Dentist records Diagnosis (symptoms, notes, treatment plan)
       ↓
5. Dentist updates the Dentogram (tooth status, findings, lab orders if needed)
       ↓
6. Dentist / Receptionist uploads Investigations (X-rays, reports)
       ↓
7. Dentist adds Prescriptions (medicines, dosage, duration)
       ↓
8. Receptionist or Dentist handles Billing (invoices, payments)
       ↓
9. Receptionist or Dentist schedules a Follow-up if required
       ↓
10. Dentist closes the Appointment (case closure)
       ↓
11. Everything is saved to the patient's Medical History Timeline
