Patients

Manage your clinic's patient records: register new patients, search existing ones, view and edit their profile, and review their medical history.


What is the Patients module?

The Patients module is the foundation of Cliops. Every consultation, prescription, investigation, follow-up, and dental chart is linked to a patient record. You will start here every time a new patient walks into the clinic.

Searching for a Patient

Before registering a new patient, always search first to avoid duplicate records.

Web App:

  1. Use the search bar at the top of the Dashboard to search by:
    • Patient name
    • Mobile number
    • Patient ID (e.g. CLN-001)
  2. Click on the patient's name to open their profile.

Alternatively, you can click Patients in the left sidebar and use the search bar there.

Mobile App:

  1. Tap Patients from the bottom tab bar.
  2. Use the search bar at the top.
  3. Tap the patient's name to open their profile.

Tip: Search results appear in under 2 seconds. If the patient does not appear, they haven't been registered yet: go ahead and create a new record.


Registering a New Patient

Web App:

  1. Click PatientsNew Patient (button in the top-right).
  2. Fill in the patient details (see fields below).
  3. Click Save Patient.

Mobile App:

  1. Tap Patients → tap the + button.
  2. Fill in the patient details.
  3. Tap the mic icon (🎙️) at any point to use voice input: speak naturally into the field that's active and Cliops will fill it in.
  4. Tap Save.

Allergies

Select any known drug/material allergies from the list:

PEN (Penicillin) · NSAID · PCM (Paracetamol) · SULFA · LA (Local Anaesthetic) · LATEX · NICKEL · EUG (Eugenol) · ACRY (Acrylic) · PINE

⚠️ Important: Allergies appear as warning pills on the patient's clinical header during every Appointment and on the dentogram page: so the dentist always sees them before treatment.


Patient Profile

When you open a patient, you see their full profile:

Editing a Patient

Web App: Open the patient profile → click Edit (top-right) → make changes → Save.

Mobile App: Open the patient → tap the edit icon → make changes → Save.

All roles with edit access can update patient demographics and medical history. Clinical records (diagnosis, prescriptions) can only be edited by the Dentist or Admin.


Patient ID

Every patient gets a unique system-generated Patient ID automatically (e.g. CLN-001). The prefix (CLN-) is set by the Admin in Settings → Clinic Basics during onboarding. You cannot change a patient's ID once created.
