Notifications
Stay informed about what's happening in your clinic: Cliops sends in-app notifications automatically when key events occur.
What are Notifications?
Notifications in Cliops are in-app alerts sent automatically when important workflow events happen: like a new patient being registered, an appointment status changing, or a follow-up being scheduled. They are role-targeted, meaning each staff member only receives notifications relevant to their role.
Notifications are delivered inside the app. They are separate from follow-up reminders (which have their own status on the follow-up record).
Which events trigger notifications?
Notifications are sent automatically in the background for the following events:
- A new patient is registered
- A new Appointment is created
- an appointment status is changed (e.g., to "Waiting", "In Consultation", "Completed", "Follow-up Required", or "Closed")
- An appointment is rescheduled
- A follow-up is scheduled
- A follow-up becomes overdue
- A new staff member is registered
Notifications are delivered only to the specific roles (Dentists, Receptionists, Admins) that need to act on them, keeping your notification feed relevant.
The Notification Bell
All notifications appear in the notification bell in the app header (top area of the screen).
Web App: Click the 🔔 bell icon in the top-right header.
Mobile App: Tap the 🔔 bell icon in the top-right of the screen.
What the bell shows:
- Unread count badge: a red number showing how many unread notifications you have.
- Recent notifications dropdown: the latest notifications with title, message, and time.
- Deep links: tapping a notification takes you directly to the relevant patient, Appointment, or follow-up page.
Marking Notifications as Read
Mark one as read: Tap/click the notification: it opens the linked page and is marked as read.
Mark all as read: Open the notification dropdown → tap/click Mark all as read.
Once read, notifications remain in your list but are no longer counted in the badge.
Notification Types

External Notifications (Push, SMS, WhatsApp, Email)
In addition to in-app alerts, Cliops integrates with external channels to keep staff and patients informed:
Mobile Push Notifications
Every in-app notification is also delivered as a push notification to your mobile device if you have the Cliops app installed and notifications enabled.
Patient SMS & WhatsApp
If configured by the Admin, the system automatically sends SMS and/or WhatsApp messages to patients for:
- Welcome message: when they are first registered.
- Appointments: booking confirmations, rescheduling, cancellations, and 24-hour reminders.
- Follow-ups: scheduling confirmations, rescheduling, and upcoming reminders.
- Documents: PDF links for prescriptions and payment receipts are sent directly to the patient's phone.
Dentist SMS & WhatsApp
Dentists receive an automated daily patient list via SMS/WhatsApp every morning, summarizing their scheduled consultations for the day.
Emails are currently used strictly for security and authentication, such as sending 6-digit OTPs for password resets.
⚠️ Note: Delivery failures for SMS, WhatsApp, Push, or Email do not block your clinic's workflow. If a patient's number is unreachable, the underlying Appointment or prescription will still be saved successfully.
