Billing

Create treatment plan invoices, add procedures, record payments, and generate printable invoices: all linked to a patient's Appointment.


What is the Billing module?

Billing in Cliops allows the clinic to create treatment plan invoices for each Appointment, add the procedures performed, apply taxes or discounts, and record payments from the patient. All billing records are attached to the patient and their Appointment for full traceability.

Accessing Billing

Billing is accessible from two places:

  1. Inside an appointment: the Billing section is one of the tabs/sections within the Appointment screen.
  2. Patient profile → Billing tab: view all invoices and payments for a patient across all Appointments.

Creating a Treatment Plan (Invoice)

A treatment plan is the invoice for an appointment: it lists the procedures performed and the costs.

Web App / Mobile App:

  1. Open the Appointment → go to the Billing section.
  2. Enter the details for the procedure or item you want to bill.
  3. Click Add to invoice list (this adds the entry to your list).
  4. Repeat this one by one for any other items.
  5. Once all items are added, click Create Invoice to finalize and save the plan.

Adding Procedures to an Invoice

Procedures can be added from your clinic's Procedure Catalog (set up in Settings) or entered manually.

  • When you type a procedure name, matching items from your catalog appear as suggestions: tap to auto-fill.
  • Add multiple procedures to the same plan by tapping/clicking + Add Item again.

Invoice Summary

Once procedures are added, the invoice automatically shows:

Recording a Payment

When the patient pays (in full or partially):

Web App:

  1. Open the invoice → click Record Payment.
  2. Fill in:
    • Amount (₹): pre-filled with the outstanding balance; edit if partial payment.
    • Payment Mode: Cash / UPI / Card / Other.
    • Notes: optional reference (e.g. UPI transaction ID).
  3. Click Save Payment.

Mobile App:

  1. Inside Billing → tap the plan's Record Payment button.
  2. A bottom sheet slides up: fill in amount, mode, and notes.
  3. Tap Save.

Partial payments are supported. Record multiple payments until the balance reaches zero.

Editing an Invoice

To edit an existing treatment plan (e.g. to add a missed procedure or adjust costs):

Web App / Mobile App: Open the plan → click/tap Edit → make changes → save.

You can:

  • Add or remove procedure lines.
  • Update tax percentage.
  • Update the discount and reason.

Editing a plan recalculates the total and outstanding balance automatically.


Printing / Sharing an Invoice

Web App: Open the invoice → click Print → a printable invoice opens with clinic letterhead, patient details, procedure table, payment summary, and balance. Use your browser's print dialog.

Mobile App: Open the invoice → tap Print / Share → the invoice is generated as a PDF → share via your phone's share sheet (WhatsApp, email, etc.) or print via a connected printer.

The invoice uses your clinic's letterhead configured in Settings. Make sure it is set up before generating invoices.


Payment History

Each patient has a full payment history showing every payment recorded across all Appointments:

Web App: Patient profile → Billing tab → scroll to Payment History.

Mobile App: Appointment → Billing section → tap the Payments tab.

Each entry shows: date, amount, mode, and notes.


Billing in Analytics

Revenue from billing feeds directly into the Analytics dashboard:

  • Total Invoiced, Total Collected, Outstanding Balance KPIs.
  • Revenue by Payment Method and Revenue by Procedure charts.
