Settings

Configure your clinic's details, working hours, letterhead, user accounts, medicines catalog, dental items, dental labs, and subscription: all from one place.


What is the Settings module?

Settings is the Admin control panel for Cliops. Everything that affects how the clinic is set up: from the clinic name and working hours to user accounts and prescription letterhead: is managed here.

Admin only: The Settings module is restricted to users with the Admin role. Dentists and Receptionists will see a "You do not have permission to access settings" message if they navigate here.


Accessing Settings

Web App: Click Settings in the left sidebar.

Mobile App: Open the side/hamburger menu → tap Settings.


Settings Sections

1. Clinic Details

Set your clinic's basic information that appears on prescriptions and throughout the system.

Patient ID Prefix: Set the prefix for auto-generated patient IDs (e.g. CLN- → Patient ID CLN-001). This is set during onboarding and affects all new patients going forward.


2. Working Hours

Configure when the clinic is open. Cliops uses these hours to show available appointment slots.

  • Set the morning session start and end time.
  • Set the evening session start and end time (if applicable).
  • Times are in 15-minute increments.

3. Letterhead

Choose how your prescriptions are headed. Cliops offers two main tabs (Custom and Uploaded), supporting three distinct print modes:

Uploaded DesignYou upload your own pre-designed letterhead image (PNG/JPG).

Within the Uploaded Design tab, you must select your paper type:

  • "I print on plain white paper" (Digital design): Cliops prints your full uploaded design onto the page.
  • "I use pre-printed letterhead paper" (Physical design): Cliops leaves the top and bottom margins blank so it doesn't print over your physical pad's logo. You can calibrate the exact margins needed.

After configuring your preferred mode, click Use Letterhead to make it live for all future prescriptions.

Preview: Use the Preview button to see how the prescription will look before activating.


4. Doctors

View the list of doctors (dentist-role users) in the clinic. Their names and qualifications appear on prescriptions.

To add a new doctor: → Users module.

To update a doctor's qualifications, edit their user profile from the users list.

5. Medicines Catalog

Manage the list of medicines that appear as suggestions when adding prescriptions.

Web App: Settings → Medicines.

  • Add medicine: Click Add → enter name, type (oral/injectable), default dosage, frequency, duration → Save.
  • Edit / Deactivate: Use the row actions to edit or deactivate a medicine.

Medicines can also be saved to the catalog directly from the prescription screen during an appointment.


6. Procedure Catalog

Manage the list of clinic procedures and their prices. Used in billing and analytics.

Web App: Settings → Procedure Catalog.

  • Add, edit, or deactivate procedures.
  • Procedures appear as selectable options when creating billing entries.

7. Prescription Templates

Prescription Templates allow the Admin to pre-define standard medicine sets for common procedures. Dentists can then load a template during an appointment instead of adding medicines one by one.

Web App: Settings → Prescription Templates.

Admin only: Receptionists and Dentists cannot access this page.

Template types:

Custom templatesCreated from scratch by the Admin.

Managing templates:

  1. Go to Settings → Prescription Templates.
  2. Use the search bar to find a template by procedure name.
  3. Click a template to edit it:
    • Add, remove, or update medicine lines (name, dosage, frequency, duration, instructions, type).
    • Update the default diagnosis inputs: Symptoms, Diagnosis Notes, and Treatment Plan.
    • Click Save.
  4. To reset a system template to its defaults, click the reset icon on the template card.
  5. To create a custom template, click + Add Custom Template:
    • Enter a procedure name.
    • Enter the default diagnosis inputs: Symptoms, Diagnosis Notes, and Treatment Plan.
    • Add one or more medicine lines.
    • Click Save.
  6. To delete a custom template, click the delete icon. System templates cannot be deleted (only reset).

Each template must have at least one medicine line, and every medicine line must have a name before saving.

8. Dental Items

Manage the catalog of dental items (crowns, veneers, etc.) used for lab orders.

Web App: Settings → Dental Items.

9. Dental Labs

Manage your list of external dental lab vendors.

View your current plan and billing details.
